Overview:
A high-profile private household is seeking a highly organized and experienced Personal Assistant to provide comprehensive travel support to the Principal, his family & friends. The ideal candidate will have a strong administrative background, a meticulous eye for detail, and a calm, solution-oriented demeanor. This position will report directly to the Estate Manager and will play a key role in ensuring smooth, seamless travel coordination along with some light house management duties.

Key Responsibilities:
• Plan and manage domestic and international travel for the Principal, family members, family pet(s) and friends
• Create and maintain detailed travel itineraries and spreadsheets (flights, hotels, ground transport, restaurant reservations, appointments. etc,)
• Manage and update travel documents (passports, visas, vaccination records, and pet travel documents)
• Coordinate with travel agents, private aviation, hotels, chauffeurs, and destination contacts
• Communicate with other individuals within the Principal’s company, family office, as well as personal guests
• Perform general admin duties, including calendar management, email correspondence, virtual meetings and maintaining travel and household records
• Maintain real-time communication with the Estate Manager during travel periods
• Track and manage travel expenses, invoices, and reimbursements
• Provide light household management support, such as liaising with vendors, overseeing small projects, and managing deliveries or appointments when needed
• Support occasional personal errands or special requests

Requirements:
• Minimum 5 years of experience in a similar role supporting HNW principals or senior executives
• Strong background in travel coordination and logistical planning
• Proficient in Microsoft Excel, Google Suite, Asana and travel booking platforms
• Exceptional organizational skills, attention to detail, and follow-through
• Calm, professional demeanor with a flexible, proactive approach
• Excellent verbal and written communication skills
• Is known for thinking ahead and anticipating the needs and request associated with travel
• Discreet, trustworthy, and comfortable handling confidential information
• Must be based in or near New York City or San Francisco
